Tracking time spent by staff on client, administrative and other work activities is an important requirement for many organisations. Creating accurate and timely invoices is an equally important process for any company that bills for the time spent on client projects or jobs. In many industries, time billing is a core function and so time tracking solutions like TimeSite Pro can be a mission-critical part of your application infrastructure.
When you request a trial account, we will immediately create your trial account. This account can then be converted to your production account by establishing a TimeSite Pro subscription. During the account initialisation process, we ask a number of questions about how to set up your trial account via the Quick Setup panel. This also determines the demonstration data what we loaded with your trial account. You can reload this demonstration data or select demonstration data for a different industry using our Remove / Reload Data menu. You can also change the subscription plan used during the trial period from the initial Accounting plan to either Basic or Standard.
We also asked you a number of questions about some common initial system settings that most of our customers use to configure TimeSite Pro to their specific requirements. You can change these common settings using the Quick Setup menu. You can find more configuration options in the Settings tab and, more specifically, in the System Settings menu.
You might also like to take this opportunity to install our mobile smartphone app and enter your login details on our mobile app. Remember to use your email address to log into our mobile app. You can use either your email address or your username to login to our web application. You will find a link to our web application, your username and password recorded in the email we sent to you to confirm your trial account.
Adding your first timesheet record
The first thing you might want to do is to go to your Timesheet tab and add a new timesheet record. You can also get an overview of the typical timesheet workflow that you can implement with TimeSite Pro. This might include submitting your timesheet for approval and then using the Approve tab to review and approve (or return for resubmission) your timesheet.
Process Time or Invoice?
We have set up your trial account using our Accounting subscription model. This enables you to use all the functionality of TimeSite Pro and so you can access the Invoice tab to review your work in progress (WIP) and create a draft invoice. You can finalise the invoice and then review how you can use TimeSite Pro to process invoice payments.
Alternatively, you can change the subscription model to Basic or Standard to access the Process Time tab to manage your timesheet workflow.
Exploring TimeSite Pro
There are a variety of other TimeSite Pro capabilities for you to explore during your trial period.
You can add new users, projects and tasks in the Admin tab. You can also set up Cost and Bill rates that can be applied to the time recorded for tasks recorded in your timesheet. The Admin tab is also where you can Export your timesheets to your payroll application. Let us know via our support chat or email which payroll or accounting system you want to connect to and we'll enable this feature for you.
There are also many features and capabilities that you can evaluate in the Settings tab. Most of the configuration settings can be found in System Settings. You can set up Custom Fields for Client, Project, Timesheet and User records. You can use Export Settings to set up the export mapping for integration with your accounting package for payroll and invoices.
