The Timesheet tab displays a listing of your timesheet records for the selected date and period. The display period can be set to Daily, Weekly or Monthly.
You move from date to date by selecting a date in the calendar ribbon or from the monthly calendar picker.
If authorised by your User Security settings, you may also be able to change between Resource User's timesheets. Click on the User drop-down in the top right of the screen to select a different user's timesheet.
Timesheet Screens
There are four different Timesheet Screen designs:
Each row in the timesheet screen (except for the Weekly Grid screen) represents a timesheet record specifying (at least) date, Client, Project, Task and (time) duration or (non-time) units. There are two different types of task: time-related tasks specify a work activity that takes a defined amount of time to complete. This duration can be specified directly (e.g. hours & minutes) or calculated from a start and end time (or clock-in and clock-out) or via duration units (e.g. 1 unit = 6 minutes).
Additional Timesheet Information
Depending on certain System Settings, additional information can also be displayed on the bottom of the timesheet screen. This may include hours worked by day, potential revenue hours worked, the total hours recorded for the week, a weekly utilisation percentage, and the total cost and bill dollars recorded on the timesheet.
Timesheet rows can also be colour coded to highlight non-billable time (such as staff meetings and training) and unavailable time (such as sick and annual leave).
See System Settings for more information on configuration settings that modify the display and entry of timesheet details.
Submit Timesheet for Approval
If timesheets are to be submitted for approval, the Submit button and Comments field will be displayed. At the end of the week, the timesheet can be submitted for approval and the timesheet records for this week will be locked and unavailable for further editing, nor can new timesheet records be added to the week.
You will be asked to confirm that you're ready for the timesheet to be locked by this submit function.
The timesheet approver may require that the timesheet details be added or corrected in which case the timesheet will be returned for resubmission. There may be one or more messages that can be displayed in this scrolling box.
Once the necessary corrections have been made, add an appropriate comment and click the Submit button. You will again be asked to confirm that you wish to submit and lock this timesheet.
Timesheet Record Lock
Timesheet records can be locked for a variety of reasons. For example:
- timesheet submitted
- timesheet approved
- timesheet record exported to payroll
- timesheet record invoiced
Whenever a timesheet record is locked, a lock icon will be displayed in the Timesheet screen. You can hover your mouse over the lock icon to bring up a panel showing the reason/s for the lock. There are a variety of ways for the lock to be removed from the record such as deleting the invoice.
