TimeSite Pro enables you to filter and report on timesheet records that are to be used (processed) for invoicing purposes. These invoices are to be prepared and finalised in your accounting package independently of TimeSite Pro.
You are able to display records grouped by Client, Project, Resource User or time period (e.g. Weekly, Monthly, etc.). You can filter these records by Client, Project, Task, Resource User and by date (e.g. Last Month, date range, etc.). You can then set the Processed Date (e.g. Today, Month End, etc.) to your actual invoice date specified in your accounting package.
The display will then provide totals for hours and units (actual & billable), and financial data such as costs and revenue. You can then select one or more rows to identify an invoice revenue amount that can be entered into the invoice being prepared in your accounting package.
Once you have completed your invoice preparation, you can click the Process button to flag (identify) in the TimeSite Pro database that these timesheet records have been processed for invoicing purposes. Once these timesheet records have been flagged as having been used for invoicing, they cannot be inadvertently selected for a subsequent invoice run.
Enable Advanced Export
Go to Settings > Export Timesheets > Settings and enable Enable advanced timesheet exporting then click on Save.
Process timesheet records
Go to Export > Advanced > Not Processed to display timesheet records that have not yet been invoiced. Click on the Show Settings and Actions pulldown to group and filter timesheet records available to process and to set the Processed Date.
Click on Hide Settings and Actions displayed the selected and groupled timesheet records.
Click on a group row to display the individual timesheet records in that grouping.
You can click on an individual timesheet record to drill through to the Edit a Record panel and you can edit and same a timesheet record if you have appropriate security permissions. You can select all of some of the rows and click the Process button to mark these timesheet records as having been included in an invoice created in your accounting package. You can also export these records to an Excel file for further reporting or to update and archive with the invoice details in your accounting package.
Processed Batches
Once the selected timesheet records have been processed, they appear in the Processed tab as a batch. You can then print a Time & Materials Report, export the batch of timesheet records, and then Complete the batch once you have finished your invoicing workflow in your accounting package.
If a batch has been marked as Complete, it can be displayed via the Show Setting and Actions pulldown.
